Meeting Room and Event Space Booking Frequently Asked Questions

The Pride Centre is open to visitors for bookings during the following hours:
Monday to Friday, 9.00am to 6.00pm
Saturday, 9.00am to 6.00pm
Sunday 10.00am to 6.00pm
If your meeting or event is due to start/finish outside of these hours you’ll need to get the ok from Pride Centre staff first and additional charges may apply.
Please note: meeting rooms are not available to external organisations/individuals on Victorian Public Holidays. Event spaces can only be booked on Victorian Public Holidays with the prior permission of the Pride Centre.
So that we can accommodate your booking request, we strongly advise that you submit your request a minimum 30 days in advance.
We accept recurring bookings for meeting rooms (and event spaces by request) up to six months in advance. The first month must be paid in advance, with subsequent recurring bookings paid monthly in advance. If payment is not received by the due date remaining bookings will be cancelled.

There are minimum booking times for meeting rooms and event spaces:

When you submit a booking request, please ensure that you include bump in and bump out time within your booking application. You can only access the meeting room/event space you have booked within times confirmed in your booking.
Meeting room bookings are not confirmed until the Hire Fee and any Bond is paid.
Event space bookings are not confirmed until a deposit of 50 per cent of the total Hire Fee is received along with a singed Venue Hire Agreement.
Yes you can! Anyone is welcome to book a space at the Pride Centre as long as they comply with our Terms and Conditions, VPC policies and Code of Conduct.
Generally, bookings will be accepted on a ‘first in’ basis, but where there are a number of booking requests for a particular space, we will prioritise bookings for LGBTIQ+ community purposes. Our payment options are:
- Electronic Funds Transfer – our banking details will be supplied on your invoice.
- Credit card payment in person at the Centre – please note a 1.9% processing fee applies for all credit card payments.
We do not accept cash or cheque. We are not able to take card payments over the phone/web for meeting room or event space bookings.
Meeting room bookings are not confirmed until the full Hire Fee including any Bond is received by the Pride Centre.
Event space bookings are not confirmed until a 50% deposit and a signed Venue Hire Agreement is returned. The balance is due 10 days before your event.
You can make an application for fee relief, please email bookings@pridecentre.org.au and we will supply you with a fee relief application form.
For equity across organisations fee relief will not be approved:
- from the commercial rate (e.g. a commercial organisation cannot apply for fee relief)
- on an ongoing basis.
An application for fee relief will be considered in relation to the applicant’s:
- organisational duration of operation, size, governance and funding
- capacity building measures and work towards financial sustainability
- duration of fee relief request (e.g. for a once-off meeting vs regular meeting room use for 6 months)
- purpose of request against alignment with VPC values.
Yes, all meeting room bookings require the Hirer to provide to the Pride Centre with a Certificate of Currency for a minimum of $10 million public liability insurance.
Please contact us for specific public liability insurance requirements for hiring event spaces at the Pride Centre.
Cancellation or date changes to bookings must made be in writing to bookings@pridecentre.org.au
The following meeting room cancellation policy applies:
- If notice of cancellation is provided at least 7 calendar days before the Booking Date there is no charge, your Hire Fees and any Bond will be refunded.
- If notice of cancellation is provided less than 7 days before the Booking Date the full Hire fee will be charged, regardless of if the room was used or not, any Bond will be refunded.
The following event space cancellation policy applies:
- If notice of cancellation is provided at least 7 calendar days before the Booking Date 50 per cent of the Hire Fee will be forfeited and any Bond will be refunded.
- If notice of cancellation is provided less than 7 days before the Booking Date the entire Hire Fee will be forfeited, and any Bond will be refunded.
We reserve the right to cancel or postpone a Booking due to any circumstances beyond the Pride Centre’s reasonable control. We may also cancel or postpone a Booking for any other reason by giving you reasonable notice in writing. Under these circumstances we will refund any unused Hire Fees to you.
The Pride Centre does not provide Rooftop terrace event relocation in the event of inclement weather unless prior written arrangement has been made. To ensure an alternate space is available please plan accordingly and consider also booking the Theatrette space. The Pride Centre will not provide a full or partial refund due to weather, while we will try to accommodate such changes, we cannot guarantee a suitable alternative space will be available.
Your bond and/or Hire Fee (if you cancel a booking) will be refunded via EFT within 10 business days after your booking. If there is any damage repairs or extra cleaning required as a result of your booking, we will be in contact with you and will recoup these fees from your bond.

When you arrive at the Pride Centre please visit the Concierge desk at the front of the building (inside the main entrance on Fitzroy Street). The Concierge team will then help you to:
- Check you and your guests in using our QR code.
- Sign out a Security Access Card to the meeting organiser – this is required to access your meeting room.
- Direct you to your booked meeting room.
At the end of your booking please visit the Concierge desk to return your Security Access Card – this is important so we can refund your Security Access Card Bond.
The Pride Centre is a non-partisan, non-denominational organisation and does not support or endorse activities held on its premises. The Pride Centre will rent spaces to political parties and/or candidates on an equal basis. Commercial rate fees will apply. The Pride Centre is not and must not be represented to be a host of any political meeting or event nor as an endorser of any Member of Parliament or candidate for political office.
Invitations and announcements for events booked by political parties or politicians must include the following statement: “The Victorian Pride Centre rents space to political parties and candidates on an equal basis. The Victorian Pride Centre does not endorse the views of [name of political party] or the election of any candidate for political office”.

We love that you might want to add colour and movement to your booking, if there are decorations you would like to use for your booking (glitter, balloons, flags etc) please have a chat with Pride Centre staff first – we will make every effort to accommodate your request.
Damage can be expensive to fix, so please do not use any form of adhesive tape, BluTak or equivalent on the floor or walls.
Yes! But, if you are under 18 you will have to get an adult to make the booking on your behalf.
We are committed to being a child safe organisation. When room and/or event bookings have participating children NOT in the company of parents or guardians, we require the Hirer to ensure that children are safe while participating in programs and activities in the Pride Centre. This includes ensuring Hirers undertake adequate adult/child supervision and that children are not unattended.
As the Hirer, you must ensure that your employees, volunteers or any other person over 18 associated with your booking has a valid Working With Children Check, we may require these are provided before confirming your booking.
We ask that at the end of your booking that you leave the room clean and tidy. This means wiping down all tables, removing any leftover food or beverage, removing any decorations, placing all rubbish and recycling in bins provided and cleaning any crockery or cutlery etc.
In the COVID-19 environment we request that you sanitise the desk and any equipment used, sanitising products will be provided.
You can find cleaning materials and bins in the kitchen area(s).
If the meeting room/event space is not left clean and tidy Pride Centre may remove the cost of cleaning from your Bond and/or invoice you for the cost of cleaning.
We will do our best to contact you if you have left an item behind. We do not accept any responsibility or liability for lost property and any unclaimed items may be disposed of after 7 days.
